Support cost surprises and hidden admin burden — measure TCO and train helpdesk
Problem: up‑front device price becomes the only metric in procurement. That ignores swap-out rates, image maintenance, app packaging, helpdesk time and depreciation. Windows and Mac have different licensing and support models; a cheaper laptop can be more expensive over three years if it demands more hands-on patching or software fixes.
What to do: calculate a simple three-year TCO that includes hardware, management tooling (MDM licences), admin time, and predictable support calls. Use this checklist when comparing offers:
- Include MDM licence costs and expected admin hours per device per year.
- Estimate one-off migration costs for platform changes.
- Plan for training: technicians need documented runbooks for both macOS and Windows tasks.
If you run a pilot, limit it to a representative team for 30 days, measure support tickets and app failures, then extrapolate to the full estate. That gives a defensible business case rather than an argument based on preference.
